ALMA Memo Submission Guidelines


Author Submittal Instructions
1. Request a memo number from alma-memos@nrao.edu
2. Create an abstract page, using the abstract template.
3. Place the memo number on the document (before generating the ps or pdf). **Please make sure that the issue date is on the title page as well.
4. Email the abstract form, a copy of the memo in pdf format, and a copy of the memo in postscript format to alma-memos@nrao.edu. Clearly Identify the ALMA memo number on the email correspondence.

Abstract Page
You must submit a completed, text-based, abstract page, which includes the memo number, title, author, and abstract. Please use the abstract template. This abstract page is important, in that it is it is used in the memo search function, and in the construction of the email message that is sent out for notification of new memo postings.

Memo File Formats
To facilitate ease of information access, files must be submitted in both pdf and postscript format. You may also submit the file in its native format, as long as the pdf and ps files are present as well. Please remember to include the ALMA memo number on the document, in each of the formats.

* Note about PDF files:
Please generate the pdf files to be readable by Adobe’s Acrobat 4.0 reader. Newer versions of Word Perfect or Microsoft Word provide an easy translation into PDF, and there are postscript and pdf converters available for LaTex, as well.

Memo Style
The ALMA memos are meant to be an informal means of communication. Their internal structure or style is not regulated, however because of the wide distribution of the memos, care should be taken to ensure their legibility and coherence. The first page of the memo should clearly state the memo number, title, author(s), and date of the memo, and a reference list should be included where necessary.

Submittal of Revisions
While the documents in the Memo Series constitute a work in progress, and no representation is made as to their accuracy or completeness, there will be times when an author considers a revision to his or her own document to be warranted. Minor corrections may be submitted as a revision to the main memo (see below), while major changes or updates should be released with a new memo number.

In submitting a revision the original memo will remain unchanged and accessible. Any new revisions will be sequentially numbered with additional decimal suffixes. For example, the first revision to memo number 100, will be 100.1 and the second revision of that memo would be 100.2. All versions of memos must be accessible and clearly cross referenced on the appropriate memo web pages. Notifications of the release of the new versions will be sent out via the memo distribution list.
